How We Vet Our Virtual Assistants (The 3-Stage Process)

Quality Starts Before Day One

When you hire through Remote Staff NY, your virtual assistant has already passed three stages of screening before you ever speak with them. We do this because a bad hire wastes your time and damages your trust in the VA model. Getting the match right up front is the most important thing we do.

Stage 1: Application and Background Screening

We receive hundreds of applications monthly and accept roughly 5%. The initial screening looks at:

  • Work experience: Minimum 2 years in relevant administrative or industry-specific roles
  • Education: College degree required (we do not use this as the primary filter, but it correlates with communication quality and commitment)
  • English proficiency: Written and verbal assessment. We test real communication scenarios, not just grammar quizzes
  • Technical infrastructure: Reliable internet (minimum 25 Mbps), backup connection, dedicated workspace, modern computer
  • Background check: Identity verification, criminal background screening, employment history confirmation

Stage 2: Skills Assessment

Candidates who pass Stage 1 complete a series of timed practical assessments:

  • Administrative skills: Data entry speed and accuracy, email drafting, calendar management scenarios
  • Software proficiency: Testing on tools relevant to their target industry (CRMs, accounting software, scheduling platforms)
  • Problem solving: Situational judgment tests that simulate real workplace scenarios
  • Communication: Mock calls, email response drafting, and client interaction simulations

Stage 3: Supervised Trial Period

Before being matched with a client, VAs complete a supervised work period where they handle real administrative tasks under the oversight of our quality assurance team. This is where we catch the candidates who interview well but do not follow through consistently.

The Matching Process

Once a VA clears all three stages, we match them to clients based on industry experience, skill profile, personality fit, and working hours compatibility. We do not just assign the next available person. We find the right person for your specific business.

After Placement
