The most common concern businesses have about virtual assistants is data security. If someone is accessing your systems from outside your office, how do you protect sensitive information? It is a fair question, and the answer starts with having the right agreements, tools, and protocols in place.
Legal Protections
Non-Disclosure Agreement (NDA): Every VA signs a comprehensive NDA before accessing any client information. This covers client data, business processes, trade secrets, and any proprietary information encountered during their work.
Business Associate Agreement (BAA): For healthcare clients handling PHI, we execute HIPAA-compliant BAAs that legally bind our organization to protect patient information.
Data Processing Agreement: Defines what data is accessed, how it is used, and what happens when the working relationship ends (data return and deletion protocols).
Technical Controls
- VPN or secure remote desktop: VAs access client systems through encrypted connections, not open internet
- Role-based access: Permissions limited to exactly what each task requires. No admin access unless specifically needed.
- Two-factor authentication: Required on all client system access
- Device management: VAs use dedicated workstations for client work. No shared family computers.
- Activity monitoring: Time tracking with screenshot capabilities (optional, client preference)
- No local storage: Client data stays on client systems. VAs do not download or store data on personal devices.
What Happens When a VA Leaves
When a VA's engagement ends, we follow a documented offboarding process:
- All client system access is revoked within 24 hours
- Any client-related files on work devices are verified deleted
- NDA obligations remain in effect after termination (typically 2 to 5 years depending on the agreement)
- Client is notified and confirms access has been revoked
What to Ask Any VA Agency
If you are evaluating agencies, ask these questions: Do you sign NDAs? How do VAs access client systems? What happens to data when a VA leaves? Do you carry cyber liability insurance? If any agency hesitates on these questions, keep looking.
