How to Write a Task List That Gets Results from Your VA

Bad Instructions Produce Bad Results

If you tell your VA "update the spreadsheet" and the result is not what you expected, the problem is probably your instruction, not your VA. Virtual assistants are skilled professionals, but they are not mind readers. Clear, specific task lists are the difference between frustration and results.

The Anatomy of a Good Task

Every task you assign should answer five questions:

  • What: The specific action to take
  • Where: The tool, file, or system to use
  • When: The deadline or priority level
  • How: Any specific method, template, or process to follow
  • Done looks like: What the finished output should be

Bad vs. Good Task Examples

Bad: "Send follow-up emails."

Good: "In our CRM (HubSpot), filter contacts tagged 'consultation-booked' who have not responded in 7+ days. Send each one the 'gentle follow-up' email template. Log the send date in the Notes field. Complete by end of day Thursday."

Bad: "Update social media."

Good: "Post the three photos I sent yesterday on Instagram. Use the caption template from our shared Google Doc. Include hashtags from our standard list. Schedule for 11am, 2pm, and 5pm today."

Use a Consistent Format

Pick a format and use it every time. A simple template:

  • Task: [What to do]
  • Tool: [Where to do it]
  • Deadline: [When it is due]
  • Notes: [Any special instructions]
  • Priority: [High / Medium / Low]

Batch Similar Tasks Together

Instead of sending five separate messages about five different data entry tasks, group them into one clear list. Your VA can work through them sequentially without context-switching between different types of work.

Review and Iterate

After your VA completes a new type of task for the first time, review it together. If adjustments are needed, update your instructions. Over time, your task library becomes a set of SOPs your VA can follow independently.
